# Kroy glossary ## AI agent An AI system that pursues a goal by deciding on steps and using tools, such as search, email or a database, rather than only replying with text. *Example:* Asked to chase outstanding year-end records, an agent looks up which clients still owe documents, checks what was requested before and drafts a reminder for each. https://getkroy.com/glossary/ai-agent ## AI gateway A single controlled point through which AI applications reach business systems and data. *Example:* Instead of Claude, ChatGPT and Copilot each holding credentials to Xero and Outlook, all three connect to Kroy, which holds the credentials and checks each request. https://getkroy.com/glossary/ai-gateway ## Approval A decision by an authorised person that an action prepared by an AI or another person may go ahead. *Example:* Claude prepares eleven client reminder drafts. The responsible manager reviews them, edits two and approves them; only then can they be sent. https://getkroy.com/glossary/approval ## Artifact A piece of work produced by a person or an AI, such as a report, draft, analysis or article, held as a governed record with a status, versions and an owner. *Example:* Claude drafts a management accounts commentary for ABC Limited. It is saved in Kroy as a Draft Artifact; a manager reviews it, a partner approves it, and it is shared with the client through their projection. https://getkroy.com/glossary/artifact ## Audit trail A reliable, chronological record of what happened: who acted, through which agent, on what resource, with what action, under which rule and with what result. *Example:* The audit trail shows that on Tuesday a manager’s ChatGPT connection requested ABC Limited’s outstanding items, was allowed, then requested the internal notes and was refused under the client-confidentiality policy. https://getkroy.com/glossary/audit-trail ## Channel A combination of an audience, a projection, artifacts, events and Skills through which an organisation exposes information and capabilities. *Example:* The ABC Client Channel exposes ABC Limited’s projection, its approved reports, the events request.created and deadline.changed, and the Skills documents.upload and request.respond. https://getkroy.com/glossary/channel ## Connector The component that tells Kroy how to communicate with another system — its authentication, resources, actions, events and limits. *Example:* The Xero connector defines OAuth authentication, resources such as invoices and contacts, and actions such as xero.invoices.read and xero.invoices.draft_create. https://getkroy.com/glossary/connector ## Context engineering The practice of deciding what information, tools, instructions and history an AI receives for a task, and in what form. *Example:* For a client query, the AI receives that client’s current status, recent correspondence and the relevant Skill, but not other clients' files or the firm’s internal risk notes. https://getkroy.com/glossary/context-engineering ## Delegation The explicit authority a person gives an AI agent, or another principal, to act on their behalf, limited in scope, actions and time. *Example:* A manager delegates to her Claude connection the ability to read client status and create Outlook drafts for her year-end clients until 31 March. It cannot send email or reach clients she does not manage. https://getkroy.com/glossary/delegation ## Entity A structured record of something an organisation works with, such as a client, project, matter, service, contact or decision, with defined fields and relationships. *Example:* ABC Limited is a client entity with a company number, year end, responsible manager and status, related to its contacts, its documents and its open requests. https://getkroy.com/glossary/entity ## Event A record that something meaningful has changed in the organisation, which authorised people, systems or agents can be told about. *Example:* When a partner approves ABC Limited’s accounts, Kroy records the event accounts.approved; the client channel and a subscribed workflow both learn of it. https://getkroy.com/glossary/event ## Guest A person or organisation outside your own, such as a client, auditor, adviser, contractor or supplier, given controlled access to selected information and capabilities. *Example:* John, a director of ABC Limited, is a guest of the practice. He can see ABC’s approved accounts and outstanding requests, and can connect his own Claude, which receives only that projection. https://getkroy.com/glossary/guest ## Human in the loop An arrangement in which a person reviews or decides at a defined point in an AI-driven process, rather than the AI acting entirely on its own. *Example:* AI prepares a VAT return summary and a covering email; a manager checks the figures and approves the email before it reaches the client. https://getkroy.com/glossary/human-in-the-loop ## Identity The verified answer to "who is this?" for a person, an AI agent, a service or an organisation making a request. *Example:* A request arrives from Sarah’s Claude connection. Kroy knows the person is Sarah, signed in through Microsoft Entra ID, and the agent is her Claude client, a distinct identity linked to her. https://getkroy.com/glossary/identity ## MCP (Model Context Protocol) An open standard for connecting AI applications to external tools and data through MCP servers, which advertise tools, resources and prompts an AI can use. *Example:* Claude connects to an MCP server that offers a "list outstanding client requests" tool; when a user asks which records are missing, Claude calls that tool. https://getkroy.com/glossary/mcp ## Policy A rule that decides whether a request is allowed, based on who is asking, which agent, what resource, what action and in what circumstances. *Example:* An agent may create Outlook drafts to clients, but sending external email requires approval by the responsible manager. https://getkroy.com/glossary/policy ## Principal Any party that can be identified and granted permissions: a person, an AI agent, a service, a guest or an organisation. *Example:* In one request there are several principals: Sarah, the employee; her Claude connection, the agent; and ABC Practice, the organisation whose policies apply. https://getkroy.com/glossary/principal ## Projection The portion of an entity’s information that a particular audience is permitted to receive. *Example:* A practice’s record for ABC Limited contains accounts, documents, AML notes and profitability. The client projection contains only approved accounts, client documents, outstanding requests and deadlines. https://getkroy.com/glossary/projection ## Provenance The record of where a piece of information came from, who or what recorded it, when, and on what basis. *Example:* The note "ABC Limited’s year end moves to June" records that a partner entered it in Kroy on a given date, citing the client’s email, rather than being an AI’s inference from an old document. https://getkroy.com/glossary/provenance ## Relationship A defined link between two entities or organisations, such as a contact belonging to a client, a task belonging to a project, or one firm acting for another. *Example:* ABC Limited is related to its directors, to its outstanding requests and to the practice as a client; that client relationship determines what ABC’s guests may see. https://getkroy.com/glossary/relationship ## Skill A packaged business capability that bundles the context, permissions and connector actions needed to do one job safely. *Example:* The Prepare Client Reminder Skill may read client status and create an Outlook draft. It may not read payroll, read another client or send email. https://getkroy.com/glossary/skill ## State What is true now about an organisation’s work — its decisions, tasks, artifacts and relationships — held independently of any single AI tool. *Example:* A decision recorded while working in Claude is available when the same project continues in ChatGPT. https://getkroy.com/glossary/state ## Subscription A standing request by an authorised person, system or agent to be notified when a particular kind of event occurs. *Example:* A client’s AI subscribes to request.created on the ABC Client Channel, so it learns when the practice asks for new documents. https://getkroy.com/glossary/subscription
